Welcome to TravelBites Ghana! The following terms and conditions outline the agreement between TravelBites Ghana (referred to as "TravelBites Ghana" or "we/us") and the Traveller (referred to as "the Traveller" or "you"). These terms ensure a smooth and enjoyable experience for all our guests. Please read carefully, and feel free to contact us with any questions.
1. Cancellation and Refund Policy
If the Traveller wishes to cancel a reservation, written notice must be provided to TravelBites Ghana via email or WhatsApp. Cancellation refunds will be determined by the notice period before the tour’s departure date:

14 Days or More Prior to Departure: 40% refund of the total tour price or deposited amount, whichever is greater.

Less than 14 Days Prior: No refunds shall be issued, though Travellers may transfer their slot to another person if desired.

Force Majeure: Should TravelBites Ghana cancel due to unforeseen circumstances outside our control, Travellers will receive a full refund of payments made, excluding non-refundable costs like airline tickets.
Refunds will be processed within 7 days of cancellation confirmation. As an alternative to cash refunds for last-minute cancellations, we may offer a non-refundable credit toward future TravelBites Ghana tours. Please contact us directly to discuss this option.
2. Limitation of Liability
TravelBites Ghana shall not be held liable for acts or omissions of third-party service providers, including hotels, airlines, or transport companies. Examples of events beyond our control include strikes, pandemics, changes in government policies, and other unforeseen circumstances.
Travellers are encouraged to obtain personal travel insurance covering health, accident, and personal belongings. TravelBites Ghana will not be responsible for incidents that could have been covered by such insurance.
Our liability is limited to the direct amounts paid by the Traveller, and we will not be liable for indirect or consequential losses. By agreeing to these terms, the Traveller agrees to indemnify and hold TravelBites Ghana, its employees, and agents harmless from all claims or liabilities arising from their tour participation, except in cases of gross negligence or willful misconduct by TravelBites Ghana.
3. Package Inclusions & Exclusions
Each package includes transportation (pickup and drop-off in Accra), meals (as specified in the itinerary), entry fees, a dedicated driver and tour coordinator, and various cultural experiences and activities.
Exclusions: Travel insurance, personal expenses, or any additional purchases made during the tour. Optional or additional activities not covered in the package will be at the Traveller’s own expense and may require separate arrangements.
4. Traveller Responsibilities
The Traveller is responsible for:

Timely Arrival: Arriving on time at designated meeting points as specified in the itinerary.

Health Requirements: Ensuring they are fit to travel. By booking, the Traveller confirms they are in good health and do not have any conditions that may pose risks to themselves or others.

Document Readiness: Ensuring they possess all necessary travel documents and health certifications.

Conduct: Acting respectfully toward fellow Travellers, guides, and local residents.

Property Supervision: Keeping track of personal belongings throughout the tour. TravelBites Ghana is not responsible for lost or stolen items.

Emergency Contact: Providing an emergency contact in case of unforeseen incidents.
Any fines, penalties, or damages incurred due to the Traveller’s conduct will be the Traveller’s responsibility.
5. TravelBites Ghana Responsibilities
TravelBites Ghana agrees to:

Provide the services outlined in the itinerary with professionalism and care.

Ensure Traveller safety and well-being during the tour through reasonable measures.

Communicate with Travellers consistently from booking through tour completion.

Make all necessary travel arrangements, including transport, accommodation, and activities as per the itinerary.
6. Intellectual Property and Media Consent
All intellectual property rights in TravelBites Ghana’s materials—such as itineraries, brochures, website content, photos, videos, and promotional materials—are owned by or licensed to TravelBites Ghana.
Travellers consent to the use of their images or voices in any photos or video recordings taken during the trip for promotional purposes. If a Traveller prefers not to be photographed or recorded, they must inform TravelBites Ghana in writing before or at the start of the tour.
7. Privacy and Data Protection
TravelBites Ghana respects the privacy of Travellers and complies with relevant data protection laws, including Ghana’s Data Protection Act, 2012. We collect personal data (name, contact details, passport information, and payment information) solely for booking, travel arrangements, and communication purposes.
This data may be shared with third-party service providers, including airlines, hotels, and local tour operators, to deliver services and will be handled with confidentiality. Personal data is retained only for as long as necessary and will be deleted upon request, unless required by law.
8. Miscellaneous

Itinerary Changes: TravelBites Ghana reserves the right to make necessary itinerary changes in response to unforeseen circumstances. Where possible, comparable alternatives will be provided, and we will make reasonable efforts to inform Travellers of changes.

Force Majeure: TravelBites Ghana shall not be liable for any injury, loss, damage, accident, delay, or inconvenience resulting from events beyond our control, including acts of nature, war, civil unrest, or government actions.

Complaint Handling: We are committed to addressing complaints fairly. Travellers should report any issues during the tour to a TravelBites Ghana representative. Post-tour complaints must be sent to us within seven days of the tour’s conclusion.

Amendments to Terms: TravelBites Ghana reserves the right to amend these Terms and Conditions. Updated terms will apply to new bookings.
In case of any disputes arising from this contract, the parties agree to pursue amicable settlement within fourteen (14) days. If unresolved, the parties may seek court action. This agreement is governed by the laws of the Republic of Ghana.
This agreement, inclusive of all sections, constitutes the entire agreement between TravelBites Ghana and the Traveller, superseding all prior discussions and negotiations. Amendments to this agreement shall only be valid if made in writing and signed by both parties.
